WORKSHOP PUBLICITY

ALL PROMOTIONAL MATERIALS (i.e.. flyers, posters, catalogue descriptions, public service announcements, etc.) MUST BE APPROVED BY ME PRIOR TO USE OR DISTRIBUTION FOR USE.

Alternative titles may not be used without my prior approval.

Photographs: I will be glad to supply you with publicity photos. If, for any reason these photos do not meet your needs please let me know immediately. Under no circumstances should you use Sweet Honey In The Rock photographs (i.e.. photographs of the group or any portion of the group) to publicize this workshop.

Promotional statements: You may indicate in your promotional material that I am a member of Sweet Honey In The Rock. However, the size of the print may not be prominent and may in no way suggest that Sweet Honey In The Rock will be present or involved in conducting this workshop. To do otherwise would be to engage in false advertisement.

Workshop Descriptions: A general workshop description is provided in the initial materials sent to you. You may, however, wish a description which is more tailored to your particular needs. I will be glad to prepare another description or to provide feedback on one that you have prepared. However, I reserve the right to approve such description prior to its use or distribution for use.

WORKSHOP PARTICIPANTS

Number of Participants: The workshop functions best with a minimum of 25 people. I recommend a maximum of 75 people for the 5 day workshop. The maximum limit can be negotiated for workshops of 2 days or less.

Diversity of Participants: These workshops are generally designed for, and encourage the participation of persons whose backgrounds are diverse in terms of sex, race, religion, culture, etc. I believe strongly that the workshop should be accessible to all types of people and request that sponsors give some thought to the impact of location, avenues of publicity, and cost on potential participants.

Defined/Restricted Groups: Please let me know immediately if you are planning to offer this workshop to a specific group (e.g.. women, children, managers, dancers, etc.) so that appropriate content, publicity, setting, etc. can be discussed.


WORKSHOP SETUP AND EQUIPMENT

Room Setup: Please choose a workshop setting in which chairs can be arranged in a full circle. Concentric circles may be appropriate for groups of 30 or more. My seat should be part of the circle and you should avoid placing chairs directly behind me.

Equipment: Regardless of the size of the room or the number of participants, sound equipment will be required. Such equipment will include a PA system with 1 (2) high quality vocal microphone(s) and 1 (2) boom stand(s).


RECORDING OR PHOTOGRAPHING THE WORKSHOP BY THE SPONSOR

A SPONSOR MUST REQUEST PRIOR APPROVAL TO RECORD OR PHOTOGRAPH THE WORKSHOP. APPROVAL WILL GENERALLY BE GIVEN FOR ARCHIVAL PURPOSES ONLY.

Archival recordings and photographs: If the workshop is recorded or photographed for archival purposes, one copy only should be made and that copy should be provided to me, as workshop leader, for my files. Sponsors should not consider making copies of workshop archival audio or video tapes for distribution to participants, staff or anyone else, for any reason. Sponsors should not consider using workshop archival photographs for any kind of workshop or organizational publicity. Sponsors may request permission to make a copy of archival recordings or photographs for the sole purpose of research to be conducted on their premises.

Recording or photographing for other than archival purposes: Prior approval must be obtained from me if audio or video recording or photographs are desired.


INFORMATION FOR PARTICIPANTS

Audio and Video Recording: Participants should be informed that they will not be permitted to make audio or video recordings of the workshop.

Note taking: Because this is a workshop which is based in an oral tradition, note taking will not be encouraged.

INFORMATION FOR SPONSORS ABOUT ORDERING MATERIALS

Pre-recorded tape series: Participants may be informed that a tape/CD set entitled SINGING IN THE AFRICAN AMERICAN TRADITIONnTaught by Ysaye M. Barnwell and George Breandon is available. It includes 6 tapes or 4 CDs and a manual, and contains all of the workshop's historical material as well as the harmony parts for 22 songs.
